Use one consistent site schedule.
Give every location an identifier, address, wash format and ownership structure. Use the same definitions and reporting periods across the schedule. Identify a site that opened recently, changed format or operated for only part of a period.
The blank site-summary template is a starting point for your own records. It does not need to be attached to the first inquiry. Start with site count, markets, formats and a broad description of the opportunity.

Separate shared items from site results.
Explain central administration, management, technology and other shared activities. Keep site-level results distinct from group overhead and identify how any allocated expenses were prepared. Preserve the source reports so the aggregate story can be reviewed.
Membership programs, branding, equipment, leases and property ownership can differ within the same group. State those differences rather than treating every site as interchangeable.
Describe the intended scope.
Are all locations being considered together, or are you open to discussing selected assets? Is the real estate included at every site, at some locations or nowhere? Are any approvals or third-party permissions still needed? A brief explanation is more useful than an assumption about the eventual transaction structure.
Your priorities can include timing, future involvement and continuity for employees or operating teams. These priorities do not need to be fully resolved to start an inquiry, but they should be visible.
Start with an overview, then control the detail.
Do not send customer lists, payment data, bank details, identification documents or confidential third-party files in an ordinary form. A more detailed review needs an identified purpose, recipient and handling process.
Use the portfolio submission to share the group’s basic shape. It is private intake and does not create a public listing, an engagement agreement or an offer.
Start with your owner summary.
Share your wash format, market and plans. Keep sensitive records for a later review.
